How Rack City Gaming handles Discord, support, moderation and account-linking information.
Who we are
Rack City Gaming operates this community website, Discord community and support desk. For privacy questions or requests, contact admin@rackcitygaming.com.
Information we process
When you use member features, we may process your Discord user ID, username, display name, avatar, guild roles, presence, guild join date, membership state, timeout or ban state, moderation events and aggregate counts of messages, links and media sent in the guild. We receive this information from Discord and from the Discord worker connected to the Rack City guild.
If you use support, we process ticket subjects, categories, messages, timestamps, replies, ticket status and uploaded attachments. A support attachment may be up to 10 MB per file. Attachments are stored separately from the database and are deleted when the ticket is closed.
We also use necessary authentication cookies named rackcity_session and, only when you choose “Stay signed in”, an HTTP-only rackcity_remember cookie that can restore your sign-in for up to 30 days. If Steam linking is introduced, we will update this policy before collecting Steam account information.
Why we use it
- to authenticate members through Discord and verify Rack City guild membership;
- to provide, secure and administer the support desk;
- to notify staff about tickets and show replies to the relevant member;
- to operate moderation, member-safety and anti-abuse processes;
- to maintain an accurate history of guild membership and moderation activity; and
- to troubleshoot, protect and improve the website and community services.
Our lawful bases will generally be performance of a service requested by you, our legitimate interests in running a safe and functional community, and consent where an optional feature requires it. We will not use member data for advertising or sell it.
Who receives information
Information may be processed by Discord, our hosting and database providers, trusted service providers needed to operate the website, and authorised Rack City staff. Ticket notification embeds may appear in a restricted Discord staff channel. We do not intentionally make private ticket content public. Discord and other third parties may process information in countries outside the UK; their own privacy policies and transfer safeguards may also apply.
Retention
We retain member records after someone leaves the guild so authorised staff can review relevant safety, moderation and support history. We review retained data periodically and delete or anonymise information that is no longer needed. Ticket and moderation records may be retained for as long as reasonably necessary for support, safety, dispute handling and legal obligations. Attachments are deleted when a ticket is closed, subject to backups and exceptional legal or security requirements. We will publish more specific retention periods when our operational schedule is finalised.
Your choices and rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing, and to receive certain information in a portable format. Some rights have exceptions, including where information must be retained for safety or legal reasons. Contact us first at admin@rackcitygaming.com. You can also complain to the UK Information Commissioner’s Office.
Security and changes
We use access controls, authenticated sessions, role-based staff access and separate attachment storage. No online service can guarantee absolute security. We may update this notice when the website, Discord worker, moderation features or account-linking features change. The date above identifies the current version.
